Job Description

Logistics Coordinator

Location: New York, NY (Financial District area)

Employment Type: Full-Time in office

Salary: $65,000–$90,000 per year, based on experience

About the Role

We are looking for an experienced and highly organized Logistics Coordinator to join

our team and take ownership of our day-to-day import and logistics activities.

This is a hands-on role for someone who can independently manage the full import process from Italy to the U.S., coordinate multiple vendors and transportation partners, maintain accurate inventory and system information, and provide excellent, proactive customer service.

The ideal candidate is detail-oriented, solution-driven, comfortable managing multiple priorities, and able to work independently in NetSuite with minimal training.

Key Responsibilities

  • Independently manage the end-to-end import process, from vendor

coordination through delivery.

  • Book and coordinate containers with multiple suppliers/vendors.
  • Coordinate ocean freight, trucking, warehouse deliveries, and transportation

appointments.

  • Communicate with Italian vendors, freight forwarders, customs brokers, trucking

companies, warehouses, and customers.

  • Monitor shipments from booking through final delivery and proactively identify

and resolve delays, discrepancies, and other logistics issues.

  • Review and maintain import and shipping documentation, including commercial

invoices, packing lists, bills of lading, and other shipment-related documents.

  • Coordinate with customs brokers and freight forwarders to support timely

customs clearance and delivery.

  • Coordinate trucking appointments and closely follow container pickups,

deliveries, and empty returns.

  • Manage and maintain accurate inventory records, including inbound shipments,

receipts, product availability, and inventory discrepancies.

  • Enter and maintain accurate information in NetSuite, including purchase orders,

shipments, inventory, and related logistics information.

  • Update customer and client platforms as required.
  • Provide customers with timely and proactive updates regarding orders,

shipments, ETAs, and potential delays.

  • Respond to customer inquiries and resolve issues with a strong focus on service

and follow-through.

  • Review shipping and inventory information for accuracy and identify

discrepancies.

  • Coordinate with internal teams to ensure orders are fulfilled accurately and on

time.

  • Maintain organized documentation related to imports, shipments, inventory, and

deliveries.

  • Support continuous improvement of logistics and order management processes.

What We're Looking For

  • 3+ years of experience in logistics, import/export, supply chain, freight

forwarding, or order fulfillment.

  • Demonstrated experience managing international imports, preferably from Italy

or Europe.

  • Strong understanding of ocean freight, container bookings, trucking, and delivery

coordination.

  • Familiarity with import and shipping documentation, including commercial

invoices, packing lists, and bills of lading.

  • Experience working directly with vendors, freight forwarders, trucking companies,

warehouses, and customers.

  • NetSuite experience is strongly preferred; the ability to navigate and use ERP

systems with minimal training is important.

  • Strong inventory management and order management skills.
  • Excellent communication and customer service skills.
  • Highly organized with exceptional attention to detail.
  • Ability to independently prioritize and manage multiple shipments and deadlines.
  • Strong problem-solving skills and a proactive approach to identifying issues

before they become problems.

  • Comfortable working in a fast-paced environment where priorities can change

quickly.

  • Proficiency with Microsoft Office, particularly Excel.

What Success Looks Like

The successful candidate will become a reliable point person for our day-to-day import

and logistics activities. You will be expected to own your shipments, stay ahead of

deadlines, keep systems accurate, communicate proactively, and ensure that

customers and internal teams always know the status of their orders.

Compensation

  • $65,000–$90,000 annually, depending on experience
